Citae is a job search resource creation and advisory service. This privacy policy applies to all of our services, data storage and websites.
Citae is committed to keeping personal data private, safe and secure.
The Information We Collect
Websites Visitors
A third-party web analytical tool is used to analyse information about web visitors. None of this data is classed as personal.
Use of Cookies
Our websites use cookies. When first accessing our pages you can agree or disagree with the collection of cookies.
Contact Data
Our customers will share contact information when placing an order or sending us a message. This is typically basic personal information such as phone number, address and e-mail address.
Personal Data
When using our service it is normal for you to share a CV containing personal data. This data will usually include contact information, employment history, education details and, potentially, salary details.
Use of Information Provided to Us
We adhere entirely to UK Data Protection law and process personal information lawfully, fairly and transparently. Personal information is used solely in the conduct of the services that you have engaged us to undertake on your behalf and we only process data to fulfil the contract that you have engaged in with us. By engaging in such a contract you have implicitly given us consent to process your data for the purposes that have been agreed between us and for the duration of our engagement.
You are under no obligation to provide us with any information at any time but the processing of your information is an innate part of our service to you and without your information we are unable to fulfil our obligations in the contract that we have formed with you.
Sharing of Information

We will share personal information with a certified UK law enforcement body asks us to in the course of their investigations.
Third-Party Use of Data
We do not use third parties in any of our activities other than the use of a third-party to store video capture data.
Meeting a Writer
You will be given an opportunity to meet with one of our writers. All of our writers are employees of Citae and they will have access to any data that you have given to us during our engagement with you. The writer may ask for more information in the course of creating written resources about you and it is wholly up to you whether you wish to provide that information to the writer.
Outside the UK
We do not typically disclose any information with anyone outside of the UK.

Should either of the above change then we shall advise you of those changes.
Your Rights
You have complete control over how we use your personal information.

You have the right to ask us to delete your information at any time. The only reasons we would be unable to delete information at your request is where there is a legitimate legal reason why we are obligated to keep it and when the data exists on a data backup resource.

Your have the right to ask us for a copy of all information you have supplied to us and we will make that information available in a standard format.
You have provided consent for us to use your information for the purposes in which you have engaged us when you send it to us. You have the right to withdraw this consent at any time at which point we shall immediately destroy your information.

You have the right to ask us to change or update any of your information that we hold and we shall endeavour to do this immediately.
We may send you emails in pursuit of delivering the work that we have engaged with you to create. You have the right to ask us, by e-mailing info@citae.co.uk, to cease sending you e-mails which we will immediately do.

You have the right not to share your personal information with Citae. If you do not share your personal information with us we may be unable to provide the service that you have ordered.

How to Access, Change, Delete or Receive a Copy of Your Information

All requests about accessing, changing, updating and deleting data must be sent to info@citae.co.uk.

We will only process a request when the sender e-mail address matches the e-mail address that we hold in relation to the information.
We shall endeavour to process your request as quickly as possible but guarantee that it will be fully processed within one month from receipt of the request.
Protecting Your Information
All information that we store is held on secure in-house storage devices and backed up to a secure cloud storage mechanism. Data is encrypted and there is no external or Internet access to our primary storage devices.
When we transmit information we only do so using an encryption key that we have agreed with you. We only send information via e-mail. We recommend that you use the same key when transmitting e-mail to us.
One of our services involves the recording of video. This is stored in an unencrypted format and we will send you a link which allows you to watch or download the video content. The video content is stored on third party servers.
Data Retention
At the end of an engagement with you we shall send to you by e-mail the materials that we have created on your behalf. Three working days after sending you these documents we shall remove them from our primary data storage systems. We will not store these documents for you and we will not give you access to our storage systems.

Documents are held in backups for the purpose of emergency recovery. We will not remove any documents or information from our backup systems since each backup will expire and be destroyed one month after creation. We are not obliged to retrieve documents for you from our backup systems.
